The Process

At GEM LLC, we believe in clarity, transparency, and communication from start to finish. Here’s what you can expect when working with us:

1. Initial Contact


Reach out and share your project details with our virtual assistant, Mia. She’ll collect the basics to get things started quickly and efficiently.


Please provide the following information when reaching out:

  • First and last name
  • Full address
  • Email address
  • Phone number
  • What you are looking to have done
  • Your desired budget
  • Preferred contact method

2. Follow-Up & Vision


One of our team members will follow up via text, email, or a phone call, which ever is your preferred contact method, to gather additional information:


  • Photos
  • Discuss budget
  • Discuss details about your project
  • Discuss time line
  • Set up an in person consultation



If architectural drawings are required for your project please have them before scheduling an estimate as these will be required in order to even give you an estimate.

3. Rough Estimate (possibly)


Sometimes we can provide a rough estimate based on the information you’ve provided. This is not a final price, but it gives you a clear idea of whether the project fits your budget. Budget transparency is key—it helps us determine what can and can’t be done.

4. Site Visit


A team member will visit the site to take rough measurements, get a feel for the space, and discuss layout, options, and expectations in detail.

Note: A site visit fee may apply depending on project scope and location.

5. Written Estimate


You’ll receive a detailed written estimate by email, a rendering will be provided if your project calls for it. You have 7 days to review and accept it. Sometimes we can extend this depending on the time of year and your project. The max our estimates are good for is 30 days. After that there will be a 15% increase from original price and/or the estimate will have to be completely refigured out.


6. Deposit & Scheduling


To secure your place in our project queue, a 50% deposit is required. Once received, we’ll lock in your spot. If you are using very high end materials your deposit could be more. Depends on project but most are 50%.

We handle all permits and inspections.

7. Payment Schedule


  • After demo: 25% due
  • On completion day: Final 25% due a $100/day late fee applies to overdue final payments.
  • This is not a set in stone payment schedule it depends on the complexity of your project.

8. Project Timeline


Most projects take 2–4 weeks depending on complexity. We’ll provide a more accurate timeline after the site visit.

9. Communication


Almost all communication is done via text, email or phone calls that are recorded. This ensures both parties have a clear, documented history of all conversations.

10. Materials


Clients are responsible for purchasing most finish materials directly from the supplier of their choice. (Flooring, Tile, Fixtures, Mirrors, Hardware, Vent Fans, Grout, sometimes vanities and cabinets, etc) This all depends on what the client is going for. There is so many options that we find its easier for the client to go look themselves with direction from us.

Paint is also purchased by the client. If a client changes the color after painting begins, a repainting fee may apply based on the scope of rework.

We can provide all these materials but there will be a mark up associated with it, letting clients order themselves helps them save money.


GEM can pick up any materials ordered by client from supplier if needed.


All building materials (Lumber, plumbing, electrical, cement board, nails/screws, etc) is supplied by GEM.


Windows/doors would depend on the project


Everything that is the clients responsibility and not included in the estimate is outlined in the estimate so you know what you will have to order yourself.

11. Change Orders & Unforeseen Issues


Our estimate remains fixed unless:

  • Additional work requested by the client, or
  • We uncover hidden issues once work begins (e.g., structural damage, plumbing issues)

Any added work must be approved and paid in full before proceeding.

12. Scope of Work


The written estimate clearly defines what is included in the job. If it’s not listed, it’s not included. Changes require written approval and updated pricing.

13. Cancellations


Cancellations after accepting the estimate are subject to a 25% cancellation fee. If materials have already been ordered or work has started, additional costs may apply.

14. Clean-Up & Access


We ask that clients provide clear access to the workspace and working utilities. We clean up daily, but remodeling is dusty by nature—please expect some disruption during the process.


We ask that you allow for a staging area such as a garage or a room for material storage so that things aren't damaged.


We can provide you with the name and number of local small businesses that do home cleaning. You can have this added to your estimate if you would like, you have to tell us at the time of the estimate.

15. Warranty & Support


We stand behind our craftsmanship. If any issues related to our work arise within the first 6 months, contact us—we’ll make it right.
